# Customer Record Field Details

> Look up every field on a FieldPulse customer record — status, account type, contacts, service addresses, tags, price tier, notes, and custom fields.

> **Who uses this:** Administrators view, create, and edit every customer record. An Administrator can turn customer viewing and editing on or off for an individual Team Manager, and can turn customer viewing on for an individual Service Agent, who cannot create or edit customers. Each custom field also carries its own visibility by role — see [User Roles and Permissions Details](/settings/users-teams/user-roles). **Availability:** All regions.

A customer record is the profile behind [customer management](https://www.fieldpulse.com/features/customer-management) in FieldPulse — it holds who the customer is, how to reach them, where the work happens, and where they stand with your business. ## Overview

A customer record stores account details, contacts, service addresses, tags, notes, files, and any custom fields your business adds. A customer record is required before you can create a job, estimate, or invoice for that customer, and the record collects those related records as they accumulate — jobs, estimates, invoices, customer comments, invoice PDFs, photos, and other files.

On the customer form, the fields run in this order: the **General Information** section, the primary contact, the address, **Tags**, and then notes and files. Custom fields your business creates appear in their own **Additional Fields** section. ## General information fields

The **General Information** section at the top of the customer record classifies the customer and sets how FieldPulse taxes their work.

| **Field**           | **What it holds**                                                                                                                                                                                                                                                                                        |
| ------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Status**          | Where the customer stands in their lifecycle — **Lead**, **Opportunity**, **Current Customer**, **Lost**, **Other**, or **Inactive**. A new customer record is set to **Current Customer** unless you choose another status. See [Setting Up Customer Statuses](/customers/managing-customers/statuses). |
| **Account Type**    | Whether the customer is **Residential** or **Commercial**. The account type changes how the customer profile displays throughout the app. Both types hold a primary point of contact and a secondary point of contact.                                                                                   |
| **Assigned To**     | The team member the customer is assigned to.                                                                                                                                                                                                                                                             |
| **Lead Source**     | Where the customer came from. You manage the list of lead sources in **Company Settings**. See [How to Track Lead Sources](/customers/leads-pipeline/sources).                                                                                                                                           |
| **Pipeline Status** | Where the customer sits in your sales pipeline. Use the pipeline statuses FieldPulse provides or create your own in **Company Settings**. See [Setting Up a Custom Sales Pipeline](/customers/leads-pipeline/sales).                                                                                     |
| **Tax Exempt**      | A toggle that marks the customer as tax exempt so tax is charged appropriately on their estimates and invoices.                                                                                                                                                                                          |

## Price tier

**Price Tier** assigns the customer to a pricing tier, and FieldPulse applies that tier's markup or discount to each line item on the customer's estimates, invoices, and flat-rate jobs. You can select a price tier while creating a customer, or apply a saved tier to an existing customer on their record. The tier has to exist already, and Price Tiers has to be enabled under **Company Settings** > **Features & Plugins**. See [Setting Up Price Tiers](/customers/managing-customers/price-tiers).

## Contact fields

The contact fields hold the people you reach for this customer. Every record has one primary contact, and you can add alternate contact methods for that person plus additional contacts on the same record.

| **First Name** and **Last Name**            | The name of the primary contact. FieldPulse recommends entering both.                                                                                                                                |
| **Company Name**                            | The business name on the customer record.                                                                                                                                                            |
| **Email** and **Phone Number**              | The primary contact's email address and phone number. Enter email domains in lowercase.                                                                                                              |
| **Alternate Email** and **Alternate Phone** | A second email address and a second phone number for the primary contact.                                                                                                                            |
| **Additional Contact**                      | Another person on the same customer record — a secondary point of contact. Enter their details and select **Save New Contact**. Residential and commercial records both support a secondary contact. |
| **Related Contacts**                        | On an additional location, the contacts attached to that address. Select the star icon to make one of them the primary contact for that address, or the trash icon to remove a contact from it.      |

## Address and location fields

The address fields hold where the work happens and where the bill goes. One customer record can carry several service addresses.

| **Field**                                                                 | **What it holds**                                                                                                                                                                                                |
| ------------------------------------------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Address Line 1**, **Address Line 2**, **City**, **State**, **Zip Code** | The customer's service address. You can type GPS coordinates directly into **Address Line 1** when there is no street address. On the mobile app, tapping the coordinates opens them in your preferred maps app. |
| **Use Separate Billing Address**                                          | A toggle that opens a second set of address fields for a billing address that differs from the service address.                                                                                                  |
| **Additional Location**                                                   | Another service address on the same customer record. You can name each additional location to keep them organized, and you save one with **Save New Location**.                                                  |
| **Main Location**                                                         | The location you star, in either the web app or the mobile app. The main location fills in automatically on Job, Project, Estimate, and Invoice records for that customer.                                       |

## Tags, notes, and files

The bottom of the customer record holds the fields you use to segment the customer and to keep working documents with the account.

| --------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Tags**  | Color-coded labels that group customers into segments such as HVAC, Handyman, or Roofing. Type a tag and press **Enter** to create it, or pick one from the previously used tags list. Tags drive the **By Tags** view on the **Customers** page and tag-based reports in the **Reporting** tab. See [How to Tag and Sort Customers](/customers/managing-customers/tagging-sorting). |
| **Notes** | Internal notes about the customer. Your customer does not see them.                                                                                                                                                                                                                                                                                                                  |
| **Files** | Files attached to the customer record. The record also stores the customer's related documents — job records, invoice records, customer comments, invoice PDFs, and photos.                                                                                                                                                                                                          |

## Custom fields

Custom fields are fields your business creates to store data the standard fields do not capture, such as a gate code, a warranty date, or a preferred technician. You create them under **Company Settings** > **Customers** > **Custom Fields**, and they appear in the **Additional Fields** section of every customer record.

Each custom field is one of five types — free text, number, date, checkbox, or drop down — and each one carries three settings that control who sees it and where its data travels: **Field Visibility by Role**, **Cascade to Related Record**, and **Is Visible to Customer & Supplier**. ## Notes & limitations

* A newly created custom field needs a full re-sync on the mobile app before it appears there, which sometimes means logging out and logging back in.

* Custom field visibility is set by role, so a team member may not see every custom field on a customer record.

* Each field has its own character limit and validation rule — **Notes** holds up to 7,500 characters, for example. If your account is connected to QuickBooks Online, QuickBooks Desktop, or Xero, stricter limits may apply to certain fields. * The **Assigned To** value can be any user in your company, searchable and grouped by team on both web and mobile. Each customer has one assigned user, so selecting someone new replaces the previous assignment.

* Every customer has a unique customer ID, and it is not shown on the customer record. You can find it in the record's URL in the web app, in the **Customer #** column on any report, and in a customer export. See [Customer FAQs](/customers/managing-customers/creating-a-customer).

* Related customers are separate customer records linked under a parent customer, not fields on a single record. See [How to Create Related Customers](/customers/managing-customers/creating-related-customers).

## FAQs

### Where do I find a customer's ID?

Every customer has a unique ID, and the customer record itself doesn't show it. Open a customer record in the web app and the ID appears in the browser address bar, and every FieldPulse report offers a **Customer #** column. To pull IDs in bulk, use the **Export** button on the **Customers** tab or go to **Company Settings** > **Customers** > **Export Customers** — the CSV carries the ID for every record, and [How to Create a Customer](/customers/managing-customers/creating-a-customer) shows the address bar and report locations in screenshots.
