You can create and send purchase orders on the web app or the mobile apps, both Android and iPhone.
In this walkthrough we'll show you how to create and send a purchase order from the iPhone app. The steps are the same in the Android app.
First, open the left side menu in the app and click on 'Sales' and then 'Purchase Orders'. This will take you to a list of your purchase orders.
Here you can see your existing purchase orders. You can search for a specific purchase order or use the filters to sort by status, customer and more.
Click the green button to create a new purchase order.
On the next screen, you'll start your purchase order by choosing the supplier of the goods.
Choose the supplier from the list, or add a new supplier by clicking the green button.
Once your new supplier has been added, they'll show up in your list of suppliers. Click their name to continue creating your purchase order.
Next fill out the order number, select 'Delivery' or 'Pickup' for the goods and the address for delivery or pickup. Then click 'Customer' to select the customer this PO applies to.
Select your customer from the list. You can search to find them.
Back on the purchase order you can click 'Add line item' to start adding goods to this purchase order. Continue clicking the button and adding line items until all the goods you want on the purchase order are listed.
When adding line items to the purchase order, ensure you set your desired quantity before saving.
Next you can adjust the tax rate applied to the goods.
Once everything looks good, click 'Save' to create your purchase order.
This will take you to the purchase order itself. Here you can edit it, download it or send it to the customer. Click the green button to show available actions.
To send the purchase order to the supplier by email, select 'Send email'
This will take you to the email preview where you can edit the subject line or body before sending the purchase order to your supplier. The PO will be attached to the email in PDF format.
Back in the purchase order page, if you click the 'Status' button, you can easily change the status to reflect the stage that the PO is at. When you're finished click 'Back' to return to your list of purchase orders.
