# How to Migrate from Service Fusion to FieldPulse

> Move your customers, jobs, scheduling, estimates, invoices, and recurring services from Service Fusion to FieldPulse, with a full terminology map.

> **Who uses this:** Admins — importing data and recreating your account setup happen in Company Settings, which requires admin access. **Availability:** All regions.

This guide moves your data and workflow from Service Fusion to FieldPulse. The two platforms share the same core structure — [customer management](https://www.fieldpulse.com/features/customer-management), jobs, [estimates and invoices](https://www.fieldpulse.com/features/estimates-and-invoices), [scheduling](https://www.fieldpulse.com/features/scheduling-and-dispatching), and recurring services — and several features use the same or very similar names, so most of the move is recreating your setup once and learning the few differences.

## Overview

The migration has three parts: import your existing data (customers and items), recreate your account setup (users, workflows, price tiers, and settings), and learn where each day-to-day task lives in FieldPulse. FieldPulse brings your data in with its own import tools rather than a direct Service Fusion connection, and the terminology reference below maps every Service Fusion term to its FieldPulse equivalent.

## Before you begin

* Export your customer accounts, Service Catalog, and Product Catalog from Service Fusion to Excel, Google Sheets, or CSV, and keep your open jobs, estimates, and service agreements accessible for reference during setup.

* Review [How to Import Data into FieldPulse](/settings/data/importing-data) and [How to Import Customers](/settings/data/importing-customers) before you start.

## Terminology reference

Here is how Service Fusion terminology maps to FieldPulse. Use this table as your translation key while you set up FieldPulse and while your team learns the new workflow.

## Import your customers and items

Bring your customer base and item catalog into FieldPulse with the import tools before you start creating jobs.

1. **Import your customer list.** Follow [How to Import Customers](/settings/data/importing-customers) to download the mass import template, fill it in from your Service Fusion customer export, verify the records, and upload.

2. **Import your items.** Build your Item List by importing your services and products with the item import template in [How to Import Your Item List](/settings/data/importing-item-list). Use your Service Fusion Service Catalog and Product Catalog exports as reference.

  If you sync FieldPulse with QuickBooks, do not import customers or items — the sync brings both your customers and your items into FieldPulse automatically. See [QuickBooks Online Overview](/integrations/accounting/quickbooks-online/overview).

## Recreate your account setup

Work through these subsections in order. Users and workflows should be in place before you start creating jobs.

### Users and teams

1. **Add team members** in **Company Settings > User Accounts**. Create each user and assign a role: Admin (full access), Team Manager (manages a team), Service Agent (field technician), or Limited Agent (mobile-only, sees assigned jobs only). 2. **Create teams** in **Company Settings > User Accounts > Teams**. Build the same groupings as your Service Fusion Crews and assign users to each team. See [How to Create a Team](/settings/users-teams/creating-a-team).

3. **Configure permissions** by opening each user profile to adjust what each user can view and edit.

### Custom status workflows

1. **Create job statuses** in **Company Settings > Jobs > Custom Status** to match the statuses your team used in Service Fusion. For each status that triggers a customer communication (such as On The Way or Completed), configure an automatic email or SMS trigger in **Company Settings > Customer Communications > Automatic Triggers** — see [Setting Up Automatic Communication Triggers](/customers/communications/automatic-triggers).

2. **Create estimate statuses** in **Company Settings > Estimates & Invoices > Estimate Custom Status**, and configure notification triggers where needed.

3. **Create invoice statuses** in **Company Settings > Estimates & Invoices > Invoice Custom Status**, and configure statuses and notifications. See [Setting Up Custom Estimate & Invoice Status Workflows](/estimates-invoices/creating/status-workflows).

### Price tiers

1. **Enable Price Tiers** in **Company Settings > Features & Plug-Ins > Price Tiers**.

2. **Add a tier** for each pricing category you used in Service Fusion (for example, Member Rate, VIP, Wholesale). Configure each tier as a flat discount or markup percentage.

3. **Assign tiers to customers** by opening each customer record and setting the customer's Price Tier. The tier automatically applies to all line items on that customer's estimates, invoices, and flat-rate jobs. See [Setting Up Price Tiers](/customers/managing-customers/price-tiers).

### Company and financial settings

1. **Enter your company information** in the **Company Settings > General** tab (name, logo, contact information).

2. **Set a default tax rate** in **Company Settings > Estimates & Invoices > General**, or enable automatic tax rates in **Company Settings > Features & Plug-Ins**.

3. **Build estimate templates** from the **Estimates** tab under Sales: **Templates > Create Estimate**.

4. **Build invoice templates** from the **Invoices** tab under Sales: **Templates > Create Invoice**. See [Setting Up Estimate & Invoice Templates](/estimates-invoices/templates/creating-templates).

5. **Enable payment processing** in **Company Settings > Features & Plug-Ins > FieldPulse Payments** and start your application. See [Setting Up FieldPulse Payments](/payments/getting-started/applying).

### Customer-facing features

1. **Enable the Customer Portal** in **Company Settings > Features & Plug-Ins > Customer Portal**. Unlike Service Fusion's portal, the FieldPulse [Customer Portal Overview](/customers/customer-portal/customer-portal) supports invoice payments directly.

2. **Enable the Booking Portal** in **Company Settings > Features & Plug-Ins > Booking Portal**. The Booking Portal generates an embeddable link for your website where customers can request service, replacing Service Fusion's Customer Web Portal service request feature. ## Create and dispatch a job

Create a job the way you created a job in Service Fusion, then dispatch it from the Schedule.

1. **Create the job.** Go to **Jobs > Create Job** and search for your customer. If the customer does not exist yet, create the customer first under Customers.

2. **Fill in the job details.** Enter the job title and apply Tags for the job category (for example, Repair, Installation). Assign a user or team and set a date and time. Use **Find Availability** to see open time slots before scheduling.

3. **Save the job.** The job appears on the Schedule and in the Dispatch View for the assigned technician.

To add another visit to the same job without creating a new record, open the job and add a **Site Visit** — the equivalent of an Additional Site Visit in Service Fusion. See [How to Add Site Visits](/jobs/jobs-tasks/site-visits).

## Send an estimate

Build and send an estimate the way you did in Service Fusion, including multi-tier pricing.

1. **Start the estimate.** Open the customer record or job record, go to the **Estimates** tab at the top, and select **New Estimate**.

2. **Add line items** from your Item List. Both platforms use Estimate Options for multi-tier pricing — add Estimate Options in FieldPulse the same way you did in Service Fusion.

3. **Add upsells** your customer can select themselves with **Add-On Options**. See [How to Use Estimate Options & Add-Ons](/estimates-invoices/options/options-add-ons).

4. **Send the estimate by email.** Your customer receives a link to view and approve the estimate, and the estimate status updates to Accepted automatically when the customer approves.

To turn an accepted estimate into an invoice, open the estimate and select **Convert to Invoice**.

## Collect payment

Collect payment on a finalized invoice, in person or by sending a payment request.

1. **Finalize the invoice.** Open the invoice and select **Finalize Invoice** to move the invoice out of Draft status.

2. **Collect immediately** by selecting **Payment** and choosing card, ACH, cash, or check.

3. **Request payment from your customer** by selecting the green **Actions** button and **Send To Customer**. With FieldPulse Payments, you can include a payment request with the invoice, and your customer receives an email with a link to pay online.

## What your techs need to know

The FieldPulse mobile app is available on iOS and Android, replacing the Service Fusion Worker App — see [Service Agent Mobile App Overview](/getting-started/mobile-app/service-agents). Here is what changes for field technicians:

* **Status updates** work the same way: tap the job and select the next status. If your admin configured notification triggers on statuses (such as On The Way), those notifications send automatically when the tech updates the status.

* **Estimates in the field:** open the job, go to the **Estimates** tab at the top, and create a new estimate. Use Estimate Options to present multiple price tiers the same way you did in the Service Fusion Worker App.

* **Customer equipment:** open the customer record or job record and add a **Customer Asset** with the model, serial number, and install date. See [How to Manage Assets](/jobs/assets/managing-assets).

* **Payments:** open the invoice from the job and tap **Payment**. Choose card, ACH, cash, or check.

* **Time tracking:** log time manually in the **Timesheets** tab. See [How to Use Employee Timesheets](/jobs/timesheets/employee-timesheets).

* **Offline work:** FieldPulse works offline. The app switches to [Offline Mode Overview](/troubleshooting/offline-mode/offline-mode) automatically when signal is lost and syncs when the connection is restored.

## FAQs

### Can I run Service Fusion and FieldPulse at the same time during the switch?

Yes. Many teams keep Service Fusion open for reference and stop entering new work in it once FieldPulse setup is complete and the data import is finished. For help sequencing a go-live, contact support at [support@fieldpulse.com](mailto:support@fieldpulse.com) or through the in-app chat.

### Does my data transfer automatically from Service Fusion?

No. FieldPulse imports your customers and items from spreadsheet templates rather than through a direct Service Fusion connection. See [How to Import Data into FieldPulse](/settings/data/importing-data).
