# Xero Overview

> See how the two-way Xero integration works in FieldPulse — what syncs, which direction each record moves, and how to connect your account.

> **Who uses this:** An Admin connects and configures the Xero integration. **Availability:** Requires a connected Xero account; the FieldPulse Xero integration is available for customers in **Australia and New Zealand** only.

The Xero integration is a two-way sync between FieldPulse and Xero that keeps your [customers](https://www.fieldpulse.com/features/customer-management), line items, quotes, [invoices](https://www.fieldpulse.com/features/estimates-and-invoices), and [payments](https://www.fieldpulse.com/features/fieldpulse-payments) matched across both systems, so a record you create or edit in one shows up in the other without you entering it twice. You run FieldPulse for the field work and the invoicing, and Xero handles the accounting — the sync keeps them on the same page.

## Overview

The workflow breakdown the Xero integration solves is double entry: a job closes, an invoice goes out of FieldPulse, and then someone re-keys that same invoice into Xero at the end of month. The Xero sync removes that step. Once your Xero account is connected, edits flow between the two systems on their own — [the office](https://www.fieldpulse.com/features#office) and your accounting stay aligned, and there is no separate pile of data waiting at the end of year.

This page is the hub for the Xero integration. Set it up in three stages, in order:

## How it works

The Xero sync moves five record types between FieldPulse and Xero: **customers, line items, quotes/estimates, invoices, and payments**. After the initial connection, most records sync both ways — a change in either system updates the other.

| **Estimates (quotes)** | One-way (FieldPulse → Xero)           |

A few Xero-specific behaviors to know up front:

* **Tax comes from Xero.** FieldPulse pulls the tax rate from Xero, and in Xero each line item carries its own tax rate. Line items need a GST account, and the tax account must read GST on income, BAS excluded, or GST free.

* **Contacts, suppliers, and customers in Xero all sync into FieldPulse as customers.** Xero Contact Groups come across as a parent customer, shown as "Group: Primary Person."

* **Xero caps contacts at 5 per customer.** FieldPulse lets you hold unlimited contacts on a record, but only the first 5 sync to Xero.

* **Status mapping is built in.** FieldPulse and Xero translate invoice and estimate statuses automatically during the sync — see [Setting Up Xero Before Syncing](/integrations/accounting/xero/pre-sync) for the full status map.

## Before you begin

* You need a **Xero account** in Australia or New Zealand.

* **Request access first.** The Xero integration is enabled per account — [contact the FieldPulse team](https://www.fieldpulse.com/company/contact-us) at [support@fieldpulse.com](mailto:support@fieldpulse.com) or use the in-app chat before you can connect.

## FAQs

### Does FieldPulse support syncing negative invoice line items to Xero?

Yes. You can add line items with a negative dollar value (e.g., -\$50.00) to an invoice in FieldPulse. These will sync over to Xero and reduce the total invoice balance.

### Does FieldPulse support syncing credit adjustments?

No. Credit adjustments are not synced between FieldPulse and Xero.

### Do Credit Memos created in Xero sync back to FieldPulse?

No. Any Credit Memos or Credit Notes created directly in Xero will not sync back to or update invoices in FieldPulse.
