# Company Equipment & Asset Tracking Overview

> See how FieldPulse tracks the two kinds of equipment in your business — customer-owned assets and your own company gear — and which tool to use for each.

> **Who uses this:** Admins set up company equipment as Assignment Users, since user accounts live in Company Settings; Admins and Team Managers create and edit customer assets (configurable for Service Agents). **Availability:** All regions.

There are two kinds of equipment in a field service business: the gear your customer owns and the gear your company owns. FieldPulse tracks each one differently, and using the right tool for each keeps your service history clean and your [dispatch schedule](https://www.fieldpulse.com/features/scheduling-and-dispatching) clear of double-booked gear.

## Overview

Customer equipment and company equipment answer two different questions. For a customer's HVAC unit, you want a long-term service history tied to that customer. For your company's excavator, you want to know where it is on Tuesday and whether it is already promised to another job. Managing shared company equipment — excavators, specialty tools, fleet vehicles — matters as much as dispatching your team, so FieldPulse handles each kind of equipment with a different tool:

## How it works

**Customer equipment** lives in the Assets feature. You create an asset, link it to the [customer record](https://www.fieldpulse.com/features/customer-management), and record details like the model name, installation date, warranty information, photos, and files. **Company equipment** is set up as an **Assignment User** — a user profile FieldPulse treats like a schedulable team member, so a piece of machinery stays available for scheduling without you paying for a full software license for it. Creating a user profile for the equipment tells FieldPulse that the equipment is a team member that needs to be dispatched, which gives you two things:

* **Schedule visibility.** You can look at your dispatch board and see exactly where Excavator #1 is on any given Tuesday, the same way you would view a technician's schedule.

* **Conflict checking.** Because FieldPulse views the equipment as a schedulable user, the built-in conflict checker warns you if you accidentally try to book the same piece of equipment on two different jobs at the same time.

## Setting up company equipment as a user

Create one Assignment User for each piece of equipment:

1. Go to **Company Settings** > **User Accounts** and select **Add User**.

2. Give the equipment a clear, recognizable name so it stands out on the schedule. A common pattern is "Asset" or "Equip" as the first name and the item as the last name — for example, first name **Equip**, last name **Excavator #1**.

3. Enter a placeholder email, such as [excavator1@test.com](mailto:excavator1@test.com). An email is required, but it does not need to be real.

4. Set the user role to **Assignment User**.

  To keep company equipment organized, create a team called "Equipment" and assign all of your equipment users to it (see [How to Create a Team](/settings/users-teams/creating-a-team)). Anyone who needs to schedule that equipment should be set as a Team Manager for the "Equipment" team so they have the correct permissions to assign it to jobs.

## Assigning equipment to jobs

Once the equipment exists as a user, assign it to jobs the same way you assign a technician (see [How to Create a Job](/jobs/jobs-tasks/creating-a-job)):

1. When creating or editing a job, go to the assigned team members section.

2. Select your primary technician.

3. Select the equipment profile you created — for example, Equip Excavator #1.

4. Save the job.

The equipment now appears on your schedule alongside your team members — you can view its time blocks, drag and drop its schedule, and coordinate where each piece of equipment needs to be throughout the week.
