# How to Create Customer Reports

> Build a customer report in FieldPulse to find your highest-invoiced customers, then group or filter the list by pipeline status, lead source, or tags.

> **Who uses this:** Admins have full reporting access, and Team Managers can be given it. Service Agents and Limited Agents do not have reporting access. **Availability:** All regions.

A customer report is built from the **Customers** tab in raw data reporting, and it pulls your customer records — pipeline status, lead source, location, tags, custom fields, and invoice and estimate totals — into one table. That table is how you see where your revenue comes from.

## Overview

A customer report answers questions about your customer base: which customers bring in the most invoiced revenue, where your leads come from, and how customers are distributed across your sales pipeline. Common customer reports include customers by invoice total, by pipeline status, and by lead source.

Building a customer report follows the same path as every other raw data report — set a date range, choose the columns, set filters, then read the table. ## Before you begin

* Create the customer records you want to report on. See [How to Create a Customer](/customers/managing-customers/creating-a-customer).

* Set up the customer fields you plan to report on, such as the statuses in [Setting Up a Custom Sales Pipeline](/customers/leads-pipeline/sales) and the sources in [How to Track Lead Sources](/customers/leads-pipeline/sources).

* Check that your role has reporting access. An Admin has full reporting access; a Team Manager needs **Full Reporting access** turned on.

## Set the date range

1. Select **Reporting** under the **Management** tab in the left-side menu.

2. Select the **Customers** tab, then select **Raw Data**.

3. Select the calendar icon and choose the start date range you want to report on.

4. Select **Load Data**.

The calendar offers these presets:

| **Preset**       | **Date range**                                    |
| ---------------- | ------------------------------------------------- |
| **Today**        | 12:00 AM to the current time                      |
| **Yesterday**    | The previous day, 12:00 AM to 11:59 PM            |
| **This Week**    | Monday through Sunday of the current week         |
| **Last Week**    | The previous week                                 |
| **Last 7 Days**  | The previous seven days, including today          |
| **This Month**   | The first of the current month to the current day |
| **Last Month**   | The entire month before the current month         |
| **Last 30 Days** | The previous 30 days, including today             |
| **Custom**       | Start and end dates you select on the calendar    |

## Choose your columns

Select **Columns** to choose which customer fields appear in the report table and the order they appear in.

The customer report includes these columns by default:

| **Column**                          | **What it holds**                                                          |
| ----------------------------------- | -------------------------------------------------------------------------- |
| **Display Name**                    | Customer display name (if synced with QuickBooks)                          |
| **First Name**                      | Customer first name                                                        |
| **Last Name**                       | Customer last name                                                         |
| **Company Name**                    | Customer company name (if commercial)                                      |
| **Customer Phone**                  | Customer's primary phone number                                            |
| **Customer Email**                  | Customer's primary email address                                           |
| **Customer Phone 2**                | Customer's secondary phone number                                          |
| **Customer Email 2**                | Customer's secondary email address                                         |
| **Customer Assigned to**            | User assigned to the customer record                                       |
| **Customer Lead Source**            | Customer lead source                                                       |
| **Customer Pipeline Status**        | Customer's custom sales pipeline status                                    |
| **Customer Next Steps**             | Next steps listed on the custom sales pipeline                             |
| **Customer Notes**                  | Notes on the customer record                                               |
| **Customer Job Notes**              | Job notes on the customer record (automatically inserted onto job records) |
| **Parent Customer**                 | Parent customer, used to group and analyze data by parent customer         |
| **Location**                        | Customer service address                                                   |
| **Status**                          | Customer status                                                            |
| **Created At**                      | Date and time the customer record was created in FieldPulse                |
| **Total Invoice Amount**            | Total amount on the related invoice                                        |
| **Total Estimate Amount**           | Total amount on the related estimate                                       |
| **Total Invoice Amount Due**        | Remaining balance on the related invoice                                   |
| **Estimate — Total Product Cost**   | Sum of product line item costs on the related estimate                     |
| **Estimate — Total Product Amount** | Sum of product line item prices on the related estimate                    |
| **Estimate — Total Product Margin** | Overall margin on product line items on the related estimate               |
| **Estimate — Total Service Cost**   | Sum of service line item costs on the related estimate                     |
| **Estimate — Total Service Amount** | Sum of service line item prices on the related estimate                    |
| **Estimate — Total Service Margin** | Overall margin on service line items on the related estimate               |
| **Invoice — Total Product Cost**    | Sum of product line item costs on the related invoice                      |
| **Invoice — Total Product Amount**  | Sum of product line item prices on the related invoice                     |
| **Invoice — Total Product Margin**  | Overall margin on product line items on the related invoice                |
| **Invoice — Total Service Cost**    | Sum of service line item costs on the related invoice                      |
| **Invoice — Total Service Amount**  | Sum of service line item prices on the related invoice                     |
| **Invoice — Total Service Margin**  | Overall margin on service line items on the related invoice                |
| **Customer Tags**                   | Tags attached to the customer record                                       |
| **Account Type**                    | Residential or Commercial                                                  |
| **Custom Fields**                   | User-created fields related to the customer record                         |
| **Tax Exempt**                      | Whether the customer is marked as tax exempt                               |

## Set your filters

Before running the report, set filters to narrow the results. Select the **Filters** icon, then choose how you want to filter the report.

The **Filters** panel offers these customer fields:

| **Last Name**                | Select the name                                |
| **Company Name**             | Select the name                                |
| **Customer Phone**           | Select the phone number                        |
| **Customer Email**           | Select the email address                       |
| **Customer Phone 2**         | Select the phone number                        |
| **Customer Email 2**         | Select the email address                       |
| **Customer Assigned to**     | Filter by contents                             |
| **Customer Lead Source**     | Select the lead source                         |
| **Customer Pipeline Status** | Select the status                              |
| **Customer Next Steps**      | Filter by contents                             |
| **Customer Notes**           | Filter by contents                             |
| **Customer Job Notes**       | Filter by contents                             |
| **Location**                 | Filter by contents                             |
| **Status**                   | Select the status                              |
| **Created At**               | Filter by date                                 |
| **Customer Tags**            | Filter by contents                             |

### Filter operators

When you filter by contents, choose an operator and then enter the values to filter the data on.

## Common customer reports

Three customer reports cover most of what teams pull from the **Customers** tab. Each one starts from the same date range, columns, and filters described above.

### Customer invoice total

Use this report to view the total invoice amount for each customer. Customize the columns to your needs, but include **First Name**, **Last Name**, and **Total Invoice Amount**.

### Customers by pipeline status

Use this report to view your customers sorted by pipeline status. Customize the columns to your needs, but include **First Name**, **Last Name**, and **Pipeline Status**, then set **Group By** to **Pipeline Status**.

### Customers by lead source

Use this report to view your customers sorted by lead source. Customize the columns to your needs, but include **First Name**, **Last Name**, and **Lead Source**, then set **Group By** to **Lead Source**.

## FAQs

### Can I save a customer report to use again?

Yes. Select **Save as Report**, then **Save as New** to store it under **Select Report**, or **Save as Widget** to add it to your Pulse Dashboard. See [How to Use Raw Data Reporting](/reporting/raw-data/using-raw-data-reporting) for the full saving flow.

### Can I export a customer report to a spreadsheet?

Yes. Select **Export CSV** to download the report currently on your screen as a CSV file to your device.

Your customer report is working when the table returns the customers you expected for the date range, shows the columns you selected, and rolls up under each pipeline status or lead source once you group it.
