# How to Create Inventory Count Reports

> Build an inventory count report in FieldPulse to spot shrinkage in a hub by comparing each item's counted quantity and value against what was expected.

> **Who uses this:** Admins have full reporting access, and Team Managers can be given it. Service Agents and Limited Agents do not have reporting access. **Availability:** All regions.

An inventory count report is built from the **Invoices > Inventory Count** tab in raw data reporting, and it puts each item's last count next to what FieldPulse expected. The report shows an item-by-item comparison of actual against expected inventory levels, including the dollar value difference, so variance stands out at a glance.

## Overview

An inventory count report answers one question about your stock: does the last physical count match the quantity and value FieldPulse expected. Use it to reconcile a hub after a count, put a dollar figure on the gap, and find the items that have not been counted in a while.

Building an inventory count report follows the same path as every other raw data report — pick the inventory type, set the date range, choose the columns, set filters, then read the table. ## Before you begin

* Count the items you want to report on. The report reads the counts recorded with the inventory count tool on an item. See [How to Deduct and Count Inventory](/inventory-materials/item-list/deducting-counting).

* Have inventory set up in your account, including hubs and any serialized items. See [Inventory Hubs Overview](/inventory-materials/item-list/inventory-hubs) and [Serialized Inventory Overview](/inventory-materials/item-list/serialized-inventory).

* Check that your role has reporting access. An Admin has full reporting access; a Team Manager needs **Full Reporting access** turned on.

## Choose the inventory type and date range

1. Select **Reporting** under the **Management** tab in the left-side menu.

2. Select **Invoices**, then select **Inventory Count**.

3. Select **Raw Data**.

4. Select the type of inventory items the report runs on. Report on regular and serialized inventory items together, or on regular or serialized inventory alone.

5. Select the calendar icon and choose the start date range you want to report on.

6. Select **Load Data**.

The calendar offers these presets:

| **Preset**       | **Date range**                                    |
| ---------------- | ------------------------------------------------- |
| **Today**        | 12:00 AM to the current time                      |
| **Yesterday**    | The previous day, 12:00 AM to 11:59 PM            |
| **This Week**    | Monday through Sunday of the current week         |
| **Last Week**    | The previous week                                 |
| **Last 7 Days**  | The previous seven days, including today          |
| **This Month**   | The first of the current month to the current day |
| **Last Month**   | The entire month before the current month         |
| **Last 30 Days** | The previous 30 days, including today             |
| **Custom**       | Start and end dates you select on the calendar    |

## Choose your columns

Select **Columns** to choose which inventory count fields appear in the report table and the order they appear in.

The inventory count report includes these columns by default:

| **Column**                       | **What it holds**                                                |

| **Item Name**                    | Line item name                                                   |
| **Item Description**             | Line item description                                            |
| **SKU/ID#**                      | Item #/SKU                                                       |
| **Unit Cost**                    | Unit cost                                                        |
| **Unit Price**                   | Unit price                                                       |
| **Hub**                          | Location of the item                                             |
| **Last Count**                   | Actual quantity of the inventory item                            |
| **Last Count Expected Quantity** | Expected quantity of the inventory item                          |
| **Last Count Variance**          | Difference between the expected quantity and the actual quantity |
| **Last Count Value**             | Total dollar amount of inventory counted                         |
| **Last Count Expected Value**    | Expected total dollar amount of inventory                        |
| **Last Count Value Variance**    | Difference between the expected value and the actual value       |
| **Last Count Date/Time**         | Date and time of the last inventory count                        |
| **Changed By**                   | User who changed the inventory count                             |
| **Serial Number**                | Serial number                                                    |
| **UPC**                          | UPC/barcode                                                      |

## Set your filters

Before running the report, set filters to narrow the results. Select the **Filters** icon, then choose how you want to filter the report.

The **Filters** panel offers these fields on an inventory count report:

| **Item Name**            | Filter by contents |
| **Item Description**     | Filter by contents |
| **SKU/ID#**              | Filter by contents |
| **Hub**                  | Select the hub     |
| **Last Count Date/Time** | Filter by date     |
| **Changed By**           | Filter by contents |
| **Serial Number**        | Filter by contents |

### Filter operators

When you filter by contents, choose an operator and then enter the values to filter the data on.

## Tips

* Watch the two variance columns together: **Last Count Variance** shows the quantity gap, and **Last Count Value Variance** shows what that gap is worth in dollars.

* Filter by **Hub** to reconcile one location at a time.

* Keep **Last Count Date/Time** in the report to see how recently each item was counted.

## FAQs

### Can I save an inventory count report to use again?

Yes. Select **Save as Report**, then **Save as New** to store it under **Select Report**, or **Save as Widget** to add it to your Pulse Dashboard. See [How to Use Raw Data Reporting](/reporting/raw-data/using-raw-data-reporting) for the full saving flow.

### Can I export an inventory count report to a spreadsheet?

Yes. Select **Export CSV** to download the report currently on your screen as a CSV file to your device.

Your inventory count report is working when the table returns a row for each counted item in the date range, the two variance columns show where the last count and its value differ from what was expected, and filtering by hub narrows the report to the location you are reconciling.
