A job record requires a customer and a title, but it also commonly includes a start and end date/time, and… # Overview FieldPulse's main record type is called a **Job**. A job record requires a customer and a title, but it also commonly includes a start and end date/time, and assigned team members. The secondary record type is called a **Subtask**. Although **Subtasks** can be independent, they are typically attached under a job record to further divide the work into a task list. For example, you may want to separate your job into multiple subtasks to better track the status or to assign the work to different team members, rather than having a single job record track everything. **Subtasks**, unlike **Jobs**, *will not* appear on the schedule. *** # On Web: Admin Experience ## Subtask Templates Subtask Templates allow you to pre-define a subtask or series of subtasks that you commonly use in your jobs. That way you can quickly insert them into jobs. For example, for a standard service call, you might create a subtask template with the following series of subtasks for your service agents to follow: 1\. Diagnose Issue\ 2\. Plan Repair\ 3\. Provide estimate to customer and receive sign-off\ 4\. Repair Issue\ 5\. Inspect unit for quality and functioning\ 6\. Invoice To create a subtask template, navigate to *Company Settings* on the left-side menu, click *Jobs*, then *Subtask Templates*. On this page, click *Create New*. Click on add… This will pop up a window where you enter your template name, title, and an optional description for your subtask. You can add additional subtasks to the series by selecting *Additional Subtask*. Continue adding your subtasks in the series. When you're finished adding subtasks, click *Save* and you'll see the subtask template populated in your Subtask Templates list. ## Attaching a Subtask to a Job To use your subtask template, go to the job record you'd like to use the template on and click *Subtasks*. Click on Subtasks Then click *Create New Series*, this will pop up a window to add a new subtask.  Click on add… From here, you can create a single subtask, a series of subtasks, or you can select *Insert Template* to attach a previously created subtask template. Click on + Insert Template You can now choose which of your subtask templates to use. Click on Basic Supply Run Your subtask template details will be added to the subtask series. You can change the text, add additional subtasks, assign team members to subtasks, and even make certain subtasks required. Once you customize it to your liking, click *Submit*. Your subtask(s) will now be attached to your job record on the *Subtasks* page. Click on Submit This is how your subtask(s) will appear on the job record. They're housed under the *Subtasks* tab. ## Subtasks without a Job If you'd like to create a subtask without attaching it to a job, select *Subtasks* from the left-side menu, then click *Add Subtask*. Click on Add Subtask You can now complete the details of the subtask, including a title, date, team members, and description. Press *Save* when you're finished. Click on Save You can also sort your subtasks, regardless of whether they are linked to a job or not, using the *Open*, *All*, and *Closed* tabs. Click on Open… ## Requiring a Subtask Whether using a template or creating a new subtask, subtasks can be required before job statuses are selected or bypassed. If you try to change a status without completed the required subtask(s), FieldPulse will display an error and prompt you to complete it. You'll notice the ability to require a subtask before job statuses when creating templates in *Company Settings*, as well as when creating subtask(s) on a job. ## Completing a Subtask To complete a subtask, begin by selecting the subtask. Click on Thu, Jan 25, 8:00 AM… You can now change the status of the subtask as you move through various stages. Click on Status If you need to add comments/notes to the subtask, select *Comments* and add the details there. Click on Comments After completing a subtask and marking it as such, the status will be updated across FieldPulse. *** # On Mobile: Field Experience ## Creating a Subtask on a Related Job or Project To create a new subtask, you'll want to click on a job record. From this page, you can select the *Subtasks* tab. Untitled step Once in the *Subtasks* tab, you can view all subtasks attached to this job, as well as select *Create Subtask* to add a new one. Here, you can add the subtask title, as well as attach a related project (if applicable). You'll notice that the job is listed under *Related Job*. You can assign the subtask to specific team members, as well as provide a description. If you'd like to use a subtask template, select *Insert Template*. Whether using a template or creating a new subtask, subtasks can be required before job statuses are selected or bypassed. You'll notice the ability to require a subtask before job statuses when creating templates in Company Settings, as well as when creating subtask(s) on a job. ## Creating a Subtask Without a Related Job or Project To create a subtask that is not attached to a job or project, begin by selecting the *Work* tab from the bottom menu and then clicking on *Subtasks*. Untitled step You can now view all subtasks, as well as sort by those that are open, closed, or unassigned. Managers and Admin can toggle between *Team Subtasks* and *My Subtasks* using the arrows next at the top of the screen. To create a new subtask, select *Create New* and complete your subtask details as described above, but do not attach a Related Project or Job. Untitled step ## **Updating a Subtask** Once your subtask is saved, you can view the subtask information. You can also update the status of the subtask using the status bar.
