Jobber to FieldPulse: Migration Guide

Overview

If you're moving from Jobber to FieldPulse, this guide walks you through every step. FieldPulse covers the same core workflows you rely on in Jobber: scheduling, dispatching, estimates, invoices, payments, and recurring jobs. The terms and navigation differ in a few key areas, but the concepts map directly.


Terminology Reference

Jobber and FieldPulse use different names for many of the same things. Here's how the terminology maps:

Recreate Your Account Setup

These are the settings you configured in Jobber that need to be set up in FieldPulse before you go live:

  • Company information: Company Settings > General tab (name, logo, contact information).

  • Tax rates:

    • To set a default tax rate: Company Settings > Estimates & Invoices > General tab.

    • To enable automatic tax rates: Company Settings > Features & Plug-Ins tab.

  • Estimate templates: Estimates tab under Sales > Templates > New Estimate (Make sure 'Save as Template' is toggled on).

  • Invoice templates: Invoices tab under Sales > Templates > New Invoice (Make sure 'Save as Template' is toggled on).

  • Custom Status Workflow: Company Settings > Jobs > Custom Status (create the job statuses that match your Jobber setup; statuses can trigger automatic time tracking and customer notifications).

  • User roles and permissions: Company Settings > User Accounts (the Fieldworker role in Jobber maps to Service Agent in FieldPulse).

  • Payment processing: Company Settings > Features & Plug-Ins > enable FieldPulse Payments and start your application.

  • Customer Portal: Company Settings > Features & Plug-Ins > enable Customer Portal (the equivalent of Jobber's Client Hub; customers can view jobs and pay invoices online).

  • Booking Portal: Company Settings > Features & Plug-Ins > enable Booking Portal (the equivalent of Jobber's Online Booking and generates an embeddable link for your website).

Creating and Dispatching a Job

Step 1: Go to Jobs > Create Job. Select an existing Customer or if the Customer doesn't exist yet, you can create them from here.

Step 2: Fill in the Job title, assign a user or team, and set a date and time. Use Find Availability to see open time slots across your team before you commit to a time.

Step 3: Save the Job. It appears on the Schedule page for the assigned technician.

To add a second visit to the same Job without creating a new Job record, open the Job and add a Site Visit. This is the equivalent of adding a Visit in Jobber.

Creating and Sending an Estimate

Jobber calls these Quotes, however, in FieldPulse they are Estimates.

Step 1: Open the Customer record or Job record and go to the Estimates tab. Select New Estimate.

Step 2: Add Line Items from your Item List. The Item List is the equivalent of Jobber's Products & Services catalog.

Step 3: To give the Customer multiple pricing options, add Estimate Options. For upsells the Customer can choose themselves, use Add-On Options. These replace Jobber's optional line items on quotes.

Step 4: Send the Estimate via email. Your customer receives a link to view and approve it. When they approve, the Estimate status updates automatically to Accepted.

To convert an approved Estimate to an Invoice, open the Estimate and select Convert to Invoice.

Collecting Payment

Step 1: Open the Invoice and select Finalize Invoice to move it out of Draft status.

Step 2: To collect payment immediately, select Payment. Choose card, ACH, cash, or check.

Step 3: To send a payment request to the Customer, select the green Actions button and Send To Customer. With FieldPulse Payments, you can click to include a payment request with your Invoice. The Customer receives an email with a link to pay online.

To collect a deposit before work begins, select the percentage or fixed amount you need before collecting payment or sending a payment request.

What Your Techs Need to Know

The FieldPulse mobile app is available on iOS and Android. Here's what changes for technicians coming from Jobber:

  • To update a Job status, tap the Job and select the next step in the workflow β€” this is how time tracking and Customer Communications are triggered, replacing Jobber's timer-based approach

  • To log time manually, techs clock in and out using Timesheets

  • To add photos and notes, open the Job and use the Notes or Files sections

  • To collect payment in the field, open the Invoice from the Job and tap Payment

  • FieldPulse works offline. The app switches to Offline Mode automatically when signal is lost and syncs everything once the connection is restored
