Turn Website Visits Into Booked Jobs

In today’s dynamic digital landscape, your customers seek flexible communication options that suit their preferences. While phone calls remain a valuable channel, the popularity of chat interactions is growing rapidly, with more customers opting for instant messaging to connect with businesses. 79% of customers prefer instant responses via chat over waiting on hold, highlighting the demand for immediate engagement. Chat AI seamlessly integrates into your website, providing a real-time communication solution that enhances customer engagement and drives more leads. Businesses using chatbots see a 20% boost in lead conversion.

What is Chat AI?

Chat AI is an AI chat receptionist that lives on your website and works 24/7. When a visitor starts a conversation, it follows the same flow as a great CSR: understand the request, confirm the service area, offer real appointment times, collect contact details, book the job in FieldPulse, and confirm. It can:
  • Book real appointments. Chat AI lists your bookable services (with descriptions, pricing, and duration from your Booking Portal), checks the visitor’s address against your service area, and offers actual calendar availability — narrowing from week to day to exact time slot. The booked job lands in FieldPulse, scheduled with an assigned technician.
  • Capture every lead. If coverage can’t be confirmed or the request needs review, the conversation becomes a follow-up for your office instead of a lost visitor.
  • Create customer records with full contact and address details. If the phone or email matches an existing customer, Chat AI quietly reuses that record — no duplicates — without ever revealing account details to the person chatting.
  • Notify your team. Teammates subscribed to Chat Completed notifications get an SMS or email recap with a summary and a link to the conversation.
  • Speak your customers’ languages. Add additional languages and visitors can switch from a picker in the widget.
Chat AI reads from your FieldPulse setup, so a complete setup means a better experience: your Booking Portal services and calendar power appointment times, your configured service areas power coverage checks, and your notification recipients receive the recaps.

Customizing Your Chat Operator

Your chat widget is fully customizable so it matches your website’s branding.

Step 1

In the Operator AI Portal (webai.fieldpulse.com), click My Company, and in the Operators tab click the edit icon next to your chat operator. Chat operator editor showing the Operator Name field, Default Language selector, and the Default Greeting message with variable chips

Step 2

Set the Operator Name visitors will see, then choose the Default Language and write the Default Greeting — the first message visitors see when they open the chat widget. Use the {{agent_name}} and {{company_name}} variables to personalize it. Add Additional Languages so visitors can switch languages from the widget.

Step 3

Use the Preview to see your widget with its last saved settings — or click Open Full Page to try it in its own tab. Heads up: conversations in the preview are real — chatting here starts an actual conversation with your operator. Step 4

Style the widget to match your brand:
  • Appearance: widget size, position on the page, whether it opens by default, stays open, and whether visitors can dismiss it.
  • Avatar: an orb in your two chosen colors, or an uploaded image such as your logo.
  • Base, Accent & Error Colors: panel, message, button, and link colors — usually your brand colors. Every picker has a reset back to the default.
  • Layout: corner rounding and spacing.

Step 5

Every customer-facing string in the widget is editable — the collapsed widget label, the message-box placeholder, the “Connecting…” status, and what shows when a chat ends (Launcher & Panel Text, Message Input Text, Status Messages, and Conversation Messages). Leave any field empty to keep the standard wording. Chat editor text customization fields for the launcher and panel text, message input placeholder, and status messages

Step 6

Under Behavior, optionally require visitors to accept a terms notice before their first message. It applies everywhere the widget appears — your website and the full-page chat — and each visitor accepts once per browser. Getting Chat AI on Your Website

Our team will support you in getting Chat AI onto your website. The install details live in the Install tab on your chat operator:
  • Install on your website: a small snippet that gets pasted into your site’s HTML, ideally just before </body>. The chat widget shows up in the bottom corner once the page loads. It’s a one-time install — changes you make in the editor afterward apply automatically.
  • Share a direct link: a hosted, full-page version of the chat — no website embed required. Drop it into SMS, email, or a QR code. It’s also the easiest way to test your operator before it goes on your website.

Reviewing Conversations

From your chat operator page, the Chats tab lists every conversation with its outcome, length, and time. Click into one to see a summary, what was created (with a link to the booked customer/job), every tool the operator used, and the full transcript. Each chat has a Feedback tab and a Report Problem button, exactly like voice calls. Chat AI Chats tab listing conversations with their outcome, length, and time Chat AI conversation detail showing the summary, what was created with a link to the booked customer or job, the tools the operator used, and the full transcript Test mode: flip your operator to Test Mode to converse normally while suppressing FieldPulse writes and notifications — test as much as you like.

FAQs

What happens if the person chatting isn’t a current customer of mine? Chat AI creates the customer record in FieldPulse with the details collected in the chat, tagged so you can filter and report on chat-generated customers. If their phone or email matches an existing record, that record is reused instead — no duplicates. How will Chat AI book the job on my schedule? It offers real availability from your scheduling setup and lets the visitor narrow down to the exact slot they want — week, then day, then time. The job is booked with an assigned technician. Can a customer reschedule or cancel through chat? Not today — that requires verifying identity, which isn’t possible in an anonymous web chat. Rescheduling and cancellation work through your voice operator or office.
