Overview
Customer equipment and company equipment answer two different questions. For a customer’s HVAC unit, you want a long-term service history tied to that customer. For your company’s excavator, you want to know where it is on Tuesday and whether it is already promised to another job. Managing shared company equipment — excavators, specialty tools, fleet vehicles — matters as much as dispatching your team, so FieldPulse handles each kind of equipment with a different tool:How it works
Customer equipment lives in the Assets feature. You create an asset, link it to the customer record, and record details like the model name, installation date, warranty information, photos, and files. Every job tied to that asset adds to its service history. See How to Manage Assets for the full walkthrough. Company equipment is set up as an Assignment User — a user profile FieldPulse treats like a schedulable team member, so a piece of machinery stays available for scheduling without you paying for a full software license for it. Creating a user profile for the equipment tells FieldPulse that the equipment is a team member that needs to be dispatched, which gives you two things:- Schedule visibility. You can look at your dispatch board and see exactly where Excavator #1 is on any given Tuesday, the same way you would view a technician’s schedule.
- Conflict checking. Because FieldPulse views the equipment as a schedulable user, the built-in conflict checker warns you if you accidentally try to book the same piece of equipment on two different jobs at the same time.
Setting up company equipment as a user
Create one Assignment User for each piece of equipment:- Go to Company Settings > User Accounts and select Add User.
- Give the equipment a clear, recognizable name so it stands out on the schedule. A common pattern is “Asset” or “Equip” as the first name and the item as the last name — for example, first name Equip, last name Excavator #1.
- Enter a placeholder email, such as excavator1@test.com. An email is required, but it does not need to be real.
- Set the user role to Assignment User.
Assigning equipment to jobs
Once the equipment exists as a user, assign it to jobs the same way you assign a technician (see How to Create a Job):- When creating or editing a job, go to the assigned team members section.
- Select your primary technician.
- Select the equipment profile you created — for example, Equip Excavator #1.
- Save the job.
