Overview

If you’re moving from FieldEdge to FieldPulse, this guide covers the full transition. Both platforms are built for the trades and share the same core structure: jobs, dispatching, flat-rate pricing, agreements, and reporting. The terminology differs in a few key areas and those differences are covered in detail below.

Recreate Your Account Setup

Work through these in order. Users, Tags, and workflows should be in place before you create Jobs.

Users and Teams

  • Add team members: Company Settings > User Accounts. Create each user and assign a role: Admin (equivalent to Admin), Team Manager (equivalent to Manager, Dispatcher, or CSR), Service Agent (equivalent to Technician), or Limited Agent (mobile-only).
  • Create Teams: Company Settings > User Accounts > Teams. Recreate your FieldEdge Crews as Teams and assign users to each.

Custom Status Workflows

  • Job statuses: Company Settings > Jobs > Custom Status. Recreate your FieldEdge technician statuses (e.g., Pending, Traveling, Working, Completed). Configure notification triggers on statuses that send customer communications, particularly the Traveling/On The Way status for ETA notifications.
  • Estimate statuses: Company Settings > Estimates & Invoices > Estimate Custom Status. Create statuses for your estimate pipeline and configure notification triggers where needed.
  • Invoice statusesCompany Settings > Estimates & Invoices > Invoice Custom Status. Configure statuses and notifications.

Item List

  • Build your Item List: Import Materials using the import template.
  • Do not import if syncing with QuickBooks, the sync populates the Item List automatically.

Company and Financial Settings

  • Company information: Company Settings > General tab (name, logo, contact information).
  • Tax rates:
    • To set a default tax rate: Company Settings > Estimates & Invoices > General tab.
    • To enable automatic tax rates: Company Settings > Features & Plug-Ins tab.
  • Estimate templates: Estimates tab under Sales > Templates > New Estimate.
  • Invoice templates: Invoices tab under Sales > Templates > New Invoice.
  • Payment processing: Company Settings > Features & Plug-Ins > enable FieldPulse Payments and start your application.

Creating and Dispatching a Job

Step 1: Go to Jobs > Create Job. Search for your customer. If they do not exist yet, create them first under Customers. Step 2: Fill in the Job title and notes. Assign a user or team and set a date and time. Use Find Availability to see open time slots before scheduling. Apply any relevant Tags (equivalent to FieldEdge’s job category fields). Step 3: Save the job. It appears in the Dispatch View and on the assigned technician’s schedule. To add another visit to the same job without creating a new record, open the Job and add a Site Visit.

Sending an Estimate/Quote

Step 1: Open the Customer record or Job record and go to the Estimates tab. Select New Estimate. Step 2: Add Line Items from your Item List. Step 3: To present multiple pricing options (Good-Better-Best), add Estimate Options. Each option has its own set of line items and price. For upsells your customer can select themselves, use Add-On Options. Step 4: Send the Estimate via email. Your customer receives a link to view and approve it. When they approve, the Estimate status updates automatically to Accepted. To convert an approved Estimate to an Invoice, open the Estimate and select Convert to Invoice.

Finalizing and Collecting Payment

In FieldEdge, Finalization happens on the Work Order and sends the record to QuickBooks. In FieldPulse, Finalization happens on the invoice. Step 1: Open the Invoice and select Finalize Invoice. This can lock the invoice, makes it ready for payment, and triggers the QuickBooks sync. Step 2: To collect payment immediately, select Payment. Choose card, ACH, cash, or check. Step 3: To send a payment request to your customer, select the green Actions button and Send To Customer. With FieldPulse Payments, you can click to include a payment request with your Invoice. Your customer receives an email with a link to pay online. To collect a deposit before work begins, select the percentage or fixed amount you need before collecting payment or sending a payment request.

What Your Techs Need to Know

The FieldPulse mobile app is available on iOS and Android, replacing the FieldEdge mobile app. Here is what changes for technicians:
  • Status updates work the same way as FieldEdge: tap the Job and select the next status. If your admin configured notification triggers (such as Traveling or On The Way), those send automatically when you update the status.
  • To record equipment at a Customer’s location, open the Customer record and add a Customer Asset with the model, serial number, install date, and warranty information.
  • To finalize and collect payment, open the invoice from the job, tap Finalize Invoice, then tap Collect Payment.
  • To log time, use the Timesheets tab.
  • FieldPulse works offline. The app switches to Offline Mode automatically when signal is lost and syncs when the connection is restored.
