Overview

Filling your team’s schedule shouldn’t feel like solving a puzzle. Find Availability surfaces open time slots across your team in real time, so you can dispatch the right person at the right time without the back-and-forth. You can access Find Availability two ways: directly from within a Job record when you’re building a new job, or when creating a Job Template. In both cases, FieldPulse factors in your team’s existing schedule, job requirements, and any Booking Windows you’ve configured — including multiple windows per day for businesses with split-shift or non-standard hours.

Prerequisites

  • To use multiple booking windows with online scheduling, the Booking Portal must be enabled (see Booking Portal)
    • Admin access required to enable and configure your Booking Portal.

Finding Availability from a Job Record

If you’re already building a job and want FieldPulse to suggest times, you can run Find Availability without ever leaving the record. Here’s how:
  1. Start creating a new Job record.
  2. Scroll down to the date/time area and click Find Availability.
  3. Review or adjust your scheduling requirements, including team members, skills, duration, and booking window.
  4. Click Suggest Times. FieldPulse will return available combinations of team members based on your criteria.
  5. Select your preferred time slot and confirm. The job is automatically assigned and scheduled.
If the job was created from a Job Template with Scheduling Parameters configured, those Booking Windows carry over to the job automatically. For jobs not tied to a template, the booking window defaults to Monday through Friday, 8am to 6pm and you can adjust it directly in the panel if needed.

Setting Multiple Booking Windows 

You can search by and define more than one booking window per day. This applies to each service in your Booking Portal. This is useful for businesses that operate in shifts, offer emergency hours, or need to separate overnight availability from standard business hours. For a Booking Portal Service, here’s how:
  1. Go to Company Settings and select Booking Portal, then Job Booking.
  2. Open the service you want to configure.
  3. In the Booking Window section, find the day you want to update.
  4. Click the green plus symbol to the right of that day’s existing time range.
  5. Set the start and end times for the new window.
  6. Repeat for any other days or windows you need.
  7. Click Save.

A few things to know:
  • You can add as many windows per day as your schedule requires.
  • Windows for the same day cannot overlap. If they do, FieldPulse will display an error before saving: “Each Booking Window within the same day for [day] must have unique time ranges without overlap.”
  • Any additional windows you configure will be included in the time slots presented to customers through your Booking Portal.
  • These windows are also factored into Find Availability’s Automatic Time Slot Suggestion for job instances created from Job Templates that reference those services.

Example: An HVAC company that handles emergency calls sets two windows for every day — 12am to 6am for after-hours service and 8am to 6pm for regular appointments. Customers booking online only see times within those ranges, and Find Availability reflects the same logic when your team is dispatching internally.
