Who uses this: Admins — importing data and recreating your account setup happen in Company Settings, which requires admin access. Availability: All regions.
Migrating from ServiceTitan to FieldPulse moves your jobs, estimates and invoices, dispatch, and reporting into one new home. Both platforms share the same core model, so most of the move is mapping terms, recreating your configuration once, and understanding the few concepts that work differently.

Overview

The migration has three parts: import your existing data (customers and items), recreate your account setup (users, workflows, and settings), and learn where each day-to-day task lives in FieldPulse. ServiceTitan and FieldPulse use different names for many of the same concepts — the terminology reference below maps them in full, and the key differences section explains the concepts that work differently.

Before you begin

  • Export from ServiceTitan. Export your customer list and your Pricebook (Services and Materials) to Excel, Google Sheets, or CSV. Keep your open jobs, estimates, memberships, and reporting setup accessible for reference during setup. Exact export steps vary by ServiceTitan plan and are not covered here.
  • Prep for import. FieldPulse brings your data in with its own import tools rather than a direct ServiceTitan connection. Review How to Import Data into FieldPulse and How to Import Customers before you start.

Terminology reference

ServiceTitan and FieldPulse use different names for many of the same concepts. Use this table as your translation key while you set up your account and while your team learns the new workflow.

Key differences to know

A few ServiceTitan concepts work differently enough in FieldPulse that they are worth understanding before you configure your account.

Business Units

In ServiceTitan, Business Units are a mandatory field on every job and the primary driver of financial reporting by department and trade. In FieldPulse, use Tags to categorize jobs by trade or department (for example, “HVAC Service,” “HVAC Install,” or “Plumbing”). Apply Tags at job creation, then filter by Tag in the Custom Reporting Dashboard to get the same department-level view.

Dispatch Board

ServiceTitan’s Dispatch Board is a full-screen grid showing all technicians and their appointments for the day, with drag-and-drop assignment and a Job Tray for unscheduled work. FieldPulse’s equivalent is the Dispatch View within the Schedule page, and it works the same way: you see technicians across a time grid, drag unscheduled jobs from the Job Queue onto the calendar, and track job statuses in real time. The Schedule also has a Map View that shows job sites geographically.

Estimates and opportunity follow-up

ServiceTitan has an Opportunities record type and a Follow Up screen for tracking and converting unsold estimates. In FieldPulse:
  1. Create custom estimate statuses in Company Settings > Estimates & Invoices > Estimate Custom Status (for example, “Sent,” “Follow-Up Needed,” “Declined”).
  2. Configure each status to automatically send a customer communication by email or SMS when the estimate moves to that status.
  3. Filter estimates by status in the Estimates tab to work your follow-up list.

Pricebook structure

ServiceTitan’s Pricebook has separate item types for Services, Materials, and Equipment. In FieldPulse:
  • The Item List holds Services and Products — the equivalent of ServiceTitan’s Services and Materials item types.
  • The FieldPulse Pricebook is a flat-rate job tool where you present pre-built service packages to customers as complete jobs with fixed prices — the equivalent of ServiceTitan’s Pricebook Services.

Memberships vs. Maintenance Agreements

ServiceTitan’s Memberships and FieldPulse’s Maintenance Agreements cover the same use case: recurring service contracts with scheduled visits, billing, and customer communications. Here is how the pieces map: See How to Create a Maintenance Agreement for the full workflow.

Job Costing

Both platforms have Job Costing, but the breakdown differs. ServiceTitan tracks labor, materials, equipment, overhead, and performance pay separately. FieldPulse Job Costing breaks costs into three categories — Products and Materials, Labor (from Timesheets or labor-designated service items), and Commission — and provides a projected vs. actual comparison using estimates against finalized invoices. Import your customers and items

Bring your customer base and item catalog into FieldPulse with the import tools before you start creating jobs.
  1. Import your customer list. Follow How to Import Customers to download the mass import template, fill it in from your ServiceTitan customer export, verify the records, and upload.
  2. Import your items. Build your Item List by importing your Services and Products (ServiceTitan Pricebook Services and Materials) with the item import template. See How to Import Your Item List.
  3. Skip the customer and item imports if you sync with QuickBooks. If you connect FieldPulse to QuickBooks, do not import customers or items separately — the sync brings both your customers and your items into FieldPulse automatically.

Recreate your account setup

Work through these in order. Users, Tags, and workflows should be in place before you start creating jobs.

Users and roles

  1. Add team members in Company Settings > User Accounts. Create each user and assign a role: Administrator (equivalent to Admin, Office Manager, Dispatcher, or CSR), Team Manager (manages a specific team), Service Agent (equivalent to Technician), or Limited Agent (field-only, sees assigned jobs only).   2. Configure permissions by opening each user profile and adjusting what that user can view and edit. Administrators have full access by default; Service Agent and Team Manager permissions are configurable.
  3. Set labor and commission rates on each user profile for accurate cost and commission tracking in Job Costing and on the invoice Cost Basis tab.

Custom status workflows

  1. Create the job status flow your team used in ServiceTitan in Company Settings > Jobs > Custom Status (for example, Scheduled, Dispatched, On Site, Complete). Each status can trigger automatic customer communications.
  2. Create estimate statuses in Company Settings > Estimates & Invoices > Estimate Custom Status (for example, Sent, Follow-Up Needed, Accepted, Declined). Configure automatic email or SMS notifications when an estimate moves to each status — this replaces ServiceTitan’s Opportunities follow-up workflow.
  3. Configure invoice statuses in Company Settings > Estimates & Invoices > Invoice Custom Status, along with any associated customer communications. See Setting Up Custom Estimate & Invoice Status Workflows for details.

Company and financial settings

  1. Enter your company information in Company Settings > General (name, logo, contact information).
  2. Set a default tax rate in Company Settings > Estimates & Invoices > General, or enable automatic tax rates in Company Settings > Features & Plug-Ins.
  3. Build estimate templates from the Estimates tab under Sales: Templates > New Estimate.
  4. Build invoice templates from the Invoices tab under Sales: Templates > New Invoice.
  5. Enable payment processing in Company Settings > Features & Plug-Ins > FieldPulse Payments and start your application.

Customer-facing features

  1. Enable the Customer Portal in Company Settings > Features & Plug-Ins > Customer Portal. Customers can view their jobs, approve estimates, and pay invoices online. See Customer Portal Overview.
  2. Enable the Booking Portal in Company Settings > Features & Plug-Ins > Booking Portal. The Booking Portal generates an embeddable link for your website where customers can request service — the equivalent of Scheduling Pro. See Setting Up the Booking Portal.

Create a job

Create a job in place of a ServiceTitan job, capturing your Business Unit and Job Type with Tags.
  1. Go to Jobs > Create Job and search for your customer. If the customer does not exist, create them here.
  2. Fill in the job title.
  3. Assign a user or team and set a date and time. Use Find Availability to see open time slots across your team before scheduling.
  4. Apply the relevant Tags for the job category (for example, “HVAC Service” or “Maintenance”). Tags are how you capture the Business Unit and Job Type equivalent.
  5. Save the job. It appears on the assigned technician’s schedule and on the Dispatch View.
To add another visit to the same job without creating a new record, open the job and add a Site Visit — the equivalent of adding an Appointment in ServiceTitan. See How to Add Site Visits.

Build and present an estimate

Build and present an estimate in place of a ServiceTitan estimate, including Good / Better / Best pricing.
  1. Open the Customer or Job record, go to the Estimates tab, and select New Estimate.
  2. Add line items from your Item List or Pricebook.
  3. To present multiple pricing options, use Estimate Options within the same estimate — each option can have its own line items and total price.
  4. For upsells your customer can add themselves, use Add-On Options. These appear as optional items your customer can select when viewing the estimate.
  5. Send the estimate by email. Your customer receives a link to view and approve it, and the estimate status updates to Accepted automatically when they approve.
To turn an approved estimate into an invoice, open the estimate and select Convert to Invoice.

Collect payment

Collect payment on a finalized invoice, in person or by sending a request.
  1. Open the invoice and select Finalize Invoice to move it out of Draft status.
  2. To collect immediately, select Payment and choose card, ACH, cash, or check.
  3. To request payment from your customer, select the green Actions button, then Send To Customer. With FieldPulse Payments, you can include a payment request with the invoice, and your customer receives an email with a link to pay online.
To collect a deposit before work begins, set the percentage or fixed amount you need before collecting payment or sending a payment request.

What your techs need to know

The FieldPulse mobile app is available on iOS and Android. Here is what changes for technicians coming from ServiceTitan Mobile:
  • Status updates replace the Dispatch / Arrive / Complete button sequence in ServiceTitan. Tap the job and select the next status in your workflow.
  • To build an estimate in the field, open the job, go to the Estimates tab, and add line items from the Pricebook or Item List. Use Estimate Options to present multiple pricing tiers.
  • To record installed equipment, open the Customer record and add a Customer Asset with the model, serial number, and install date.
  • To collect payment, open the invoice from the job and tap Payment. Choose card, ACH, cash, or check.
  • To log time, use the Timesheets tab.
  • FieldPulse works offline. The app switches to Offline Mode Overview automatically when signal is lost and syncs when the connection is restored.

FAQs

Can I run ServiceTitan and FieldPulse at the same time during the switch?

Yes. Many teams keep ServiceTitan open for reference and stop entering new work in it once FieldPulse setup is complete and the data import is done. Your migration is on track when your imported customers and items appear in FieldPulse, your users, Tags, and status workflows are recreated, and your team can create a job, present an estimate, and collect a payment the same way they did in ServiceTitan — under the new names the terminology reference maps for you.
