The accounting columns in each table apply only when a QuickBooks Online, QuickBooks Desktop, or Xero integration is connected.A character limit is the maximum number of characters a FieldPulse field accepts, and a validation rule is the format that field requires. Use this page as a reference when you create or import records, so those records save without errors.
Overview
This page lists the character limits and validation rules for each major record type in FieldPulse — customers, jobs, line items, estimates, invoices, payments, and purchase orders — followed by file size limits and limits that apply across the system. In the record-type tables, the FieldPulse column is the limit FieldPulse applies to the field, and the accounting columns show the limit that platform applies to the same field.If your account is connected to QuickBooks Online, QuickBooks Desktop, or Xero, stricter character limits may apply to certain fields. The tables below show those differences. A dash (—) means that platform has no specific limit for that field, or the integration does not apply to that field.
Customer field limits
Of the customer fields below, FieldPulse accepts 255 characters in each one, except Notes, which accepts 7,500 characters, and the two phone fields, which accept any valid phone format.

Job field limits
Job records are FieldPulse-native and most job fields do not sync directly to accounting platforms. Customer and item fields on a job follow the limits in the customer and line item sections of this page.Line item field limits
Item Name has no hard limit in FieldPulse, but the name must be unique and cannot contain tabs, newlines, colons, or quotes. The rest of the line item fields carry the limits below.

Estimate field limits
In FieldPulse, an Option Tab Title accepts 30 characters and a Contract Body accepts 100,000 characters, while Grouping Description, Add-On Description, and Estimate Internal Notes have no FieldPulse limit.Invoice field limits
An Invoice Title accepts 5,000 characters in FieldPulse, and the description, grouping description, and internal note fields have no FieldPulse limit.Payment field limits
Payment Method accepts a fixed set of values, and Notes accepts 4,000 characters in FieldPulse.Purchase order field limits
Purchase orders sync with QuickBooks Online and QuickBooks Desktop only — Xero does not have a purchase order integration, so the table below has no Xero column.

File size limits
FieldPulse accepts files up to 250 MB each, and applies lower caps to files you send by email or text message.Additional system-wide limits

- Rich text counts against the character limit. When you apply enriched text formatting such as bold or italic, FieldPulse adds hidden characters behind the scenes to apply that styling. Those characters are invisible in the editor but still count toward the field’s character limit.
- A connected accounting platform can set the tighter ceiling. If your account is connected to QuickBooks Online, QuickBooks Desktop, or Xero, stricter character limits may apply to certain fields — check the accounting columns above before you import records in bulk.
